Affiliate Campaign Partnership Agreement
This Affiliate Campaign Partnership Agreement (“Agreement”) is made between Israel Friends (“Organization”) and the Affiliate Partner (“Partner”) to establish the terms and conditions for participation in the Affiliate Campaign.
1. Purpose of Agreement
The purpose of this Agreement is to outline the roles, responsibilities, and expectations of the Partner and the Organization in running an Affiliate Campaign. Funds raised through this partnership may either support the Partner’s specific campaign purpose, as approved by our Executive Director and legal team, or directly support Israel Friends initiatives. By signing below, the Partner agrees to comply with the guidelines and requirements set forth in this Agreement.
2. Campaign Setup and Initial Requirements
To initiate the Affiliate Campaign, the Partner agrees to provide the following information:
• Campaign Name: A unique and identifiable name for the campaign.
• Purpose: The focus or goal of the campaign.
• Code Word: A unique identifier for tracking and reporting purposes. Please select a unique code word, avoiding generic terms such as “Protect” or “IDF,” which may already be in use. Examples of appropriate code words include the name of someone associated with the campaign, a unit number, a specific geographic region, or an inside joke relevant to your team.
• Blurb / Write-Up: A brief description of the campaign.
• Images or Videos: A minimum of one image is required for a simple campaign. For campaigns requiring more detailed visuals, additional images or a video may be provided. (Please note that more complex campaigns may require additional setup time, and higher administrative fees may apply—see Section 3.)
3. Financial Responsibilities and Fees
• Administrative Fee: The Partner may select one of the following fee options:
• 5% Admin Fee: Includes one image and no edits once the campaign is live.
• 7% Admin Fee: Includes multiple images, video, and allows for edits after the campaign goes live.
• If a Partner selects the 5% option but later requests edits or additional visuals, the admin fee may be adjusted to 7% with Partner approval. All funds received after the change will be subject to the 7% fee.
• Credit Card Processing Fee: An additional 3.5% fee is charged on all donations made via credit card.
• Revenue Share: Israel Friends will receive 5% of all revenue, including ticket sales.
• Credit Card Fees on Ticket Sales: A 3.5% credit card processing fee will apply to all tickets purchased via credit card.
• Fee Adjustments: The administrative fee may be subject to change due to internal organizational needs. The Partner will receive a three-month notice of any fee adjustments, which will apply to future donations only and will not be retroactive. Credit card and banking fees are separate from the administrative fee and are beyond the Organization’s control.
4. Reporting, Fund Management, and Donor Information
• Donation Tracking: A unique link will be provided for real-time updates and donation tracking. Reports will reflect online donations but will not include administrative fees. For a complete and updated financial overview, including fees and available funds, the Partner must contact the Organization’s finance team.
• Checks and Wires: Donations via check or wire transfer are not reflected in real-time. These donations are subject to a 48-72 hour processing delay, which may result in a 2-4 week delay from when the check is written to when it appears in the donor report.
• Fund Utilization: If a campaign does not receive or utilize funds over a 4-month period, the Organization will reach out to the primary campaign manager to confirm the intent for the use of funds. If no response is received within 30 days, funds will be reallocated for general use by the Organization, and the campaign will be closed. This policy mitigates long-term liabilities and ensures funds are actively supporting the mission.
• Donor Information Use: By entering into this Agreement, the Partner grants the Organization permission to use all donor contact information provided through the campaign in the Organization’s marketing efforts, including but not limited to email campaigns, social media outreach, and donor engagement strategies.
5. Roles and Contacts
The Partner agrees to designate two campaign managers:
• Primary Campaign Manager: Responsible for directing fund allocation and overseeing campaign activities.
• Secondary Campaign Manager: Serves as a backup contact in the event the primary manager becomes unavailable.
6. Privacy and Confidentiality
The Partner agrees not to share access links, passwords, or any login details related to donor reports or the donor platform, even if the report pertains to their own campaign. Donor information will remain confidential and accessible only to authorized personnel to ensure data security and privacy.
7. Finalization and Restrictions
• Edits to Campaign: Once the campaign is live, no further edits will be permitted unless authorized by the Executive Director. Partners requesting edits will be informed that they will be subject to the 7% administrative fee. If they choose to proceed, all funds received from the date of approval onward will be subject to this fee.
• Welcome Packet: Internal Campaign Partners will receive a three-page Welcome Packet, which includes all relevant links to their campaign, donation tracking links, and detailed instructions and applicable information.
